Who Needs to Complete the I-9?
All employees hired by U.S. employers after November 6, 1986 must have an I-9 Form completed to verify both employment eligibility and identity. The I-9 Form may be copied provided both the front and back sides are copied and presented to the employee.
Always ensure there is a completed I-9 for every employee hired to work after November 6, 1986.
For clarification purposes: In this tutorial, the word "employer" refers to a Concordia employee designated to assist in I-9 completion and "employee" refers to all faculty, staff, administrators, or student workers who are either new hires or current employees re-verifying employment eligibility.
Designated Concordia employees may present the I-9 form to the employee, review the employee's documents, and complete Sections 2 and 3 as needed. In cases where employees are working in states where Concordia does not have a centralized office or traveling the distance to a Concordia location is not reasonable, a notary public or other legal authority may perform the tasks listed above.Obtaining Blank Forms
To obtain a blank copy of the Form I-9:
- You can make photocopies of a blank form (both sides are required)
- You can print copies from an electronic copy of the form, available here
Remember, if you copy or print the I-9, you must reproduce both sides (pages 4 and 5) of the form and present them to the employee. Instructions must also be made available while the employee is completing the form.
